We're on Dynamics 365 and still exporting to Excel every Monday — can anyone fix that?

Short answer

Yes. A recurring Monday export is a pipeline gap, not a reporting gap. Dynamics 365 exposes its data through Dataverse, OData endpoints and, for Finance and Operations, data entities — all readable by Fabric Data Factory pipelines that land changed rows in OneLake on a schedule. A governed Power BI semantic model then refreshes itself inside your own Azure tenant, with no manual rebuild.

Key takeaways
  • 01Which Dynamics 365 you run decides the extraction surface. The Dataverse-backed apps — Sales, Customer Service, Field Service — store rows in Dataverse, which can be surfaced into OneLake or read selectively over the Dataverse Web API — confirm which of those your Dynamics licensing actually grants before scoping either. Finance and Operations exposes data entities instead, and Business Central exposes its own API and OData web services. Confirm which applies before anyone estimates the work.
  • 02Dynamics 365 online needs no on-premises data gateway. A gateway is needed when the Monday workbook is also fed by something behind the firewall — an on-prem SQL Server, a Dynamics AX 2012, NAV or GP database, a payroll system — and that gateway makes an outbound connection, so no inbound firewall ports are opened.
  • 03Incremental refresh keys off a row-level modified timestamp — Dataverse keeps modifiedon, Finance and Operations entities carry an equivalent field — so only changed records move after the first load. The failure mode is deletes: a watermark on a modified date cannot see a hard-deleted row, so deletions need change tracking or a periodic full reconcile of key tables, or balances drift quietly over months.
  • 04The spreadsheet is usually not just transport. Most weekly Dynamics workbooks contain logic that exists nowhere in Dynamics: a mapping table someone maintains by hand, excluded cost centres, a currency rate typed in each Monday, a manual accrual. Automating the export without auditing the workbook ships the old numbers with none of the adjustments, and finance will spot it in week one.
  • 05Choice and option-set columns typically arrive as integer codes rather than labels; multi-currency rows carry a transaction currency and need an explicit base-currency conversion rule; Dataverse calculated and rollup fields are computed on read and may not land in the lake at all. Each is a decision for your team to make once, in the semantic model, rather than per report.
  • 06Honest limit: if the Monday workbook is one person pulling one Dynamics view and sending it to four people, this is the wrong solution. An Excel refresh against the Dynamics API, or a single Power BI report with a scheduled refresh, solves that at a fraction of the cost. A governed Fabric pipeline earns its keep when several systems have to reconcile, when more than one team argues about the same number, or when the export has quietly become a month-end dependency.

Related questions, answered

Why does the weekly Excel export survive a Dynamics 365 rollout?

Because the ERP project delivered transactions, not reporting. Dynamics 365 records the data correctly but reports on one application at a time, and the questions a leadership team asks on Monday span several. Someone bridges the gap in a workbook, the workbook becomes load-bearing, and nobody is funded to replace it. The export is the symptom of an unbuilt pipeline.

How does Dynamics 365 data actually get into Microsoft Fabric?

Through a read-only extraction surface, on a schedule. Dataverse-backed apps can be surfaced into OneLake, or read over the Dataverse Web API by a Fabric Data Factory pipeline. Finance and Operations is read through its data entities. Either way the landed tables sit in OneLake, and a Power BI semantic model in Direct Lake mode reads them without a second copy.

What does our team have to provide, and what do the first two weeks look like?

Three things: a read-only service principal or account in Dynamics, one person who can confirm what each number should mean, and the current Monday workbook with its hidden tabs intact. Weeks one and two are access, source profiling and reconciling one agreed figure against a report Dynamics already produces. Build follows that, not before it.

What does this cost — what are the actual lines?

Three lines, from two suppliers. Microsoft bills Fabric capacity, an F-SKU charged by the hour and pausable; F2 is the smallest. Microsoft also bills a per-user Power BI licence for viewers on capacities smaller than F64; at F64 or larger, a Free licence plus a viewer role can read content. The third line is delivery, quoted by source count and governance. Capacity is usually the smallest and most predictable.

Will our Dynamics security roles carry over to the dashboards?

Not automatically, and assuming otherwise is a common and serious mistake. Business-unit and owner-based security in Dynamics does not travel with the rows into OneLake. Equivalent restrictions are re-implemented as row-level security in the semantic model and as Fabric workspace roles, which is a deliberate design step your team signs off — not a setting that inherits.

Is there a case where Monday in Excel is still the right answer?

Yes. For a one-off board pack, an ad-hoc reconciliation, or a figure that genuinely needs human judgement applied before it is published, a spreadsheet is the correct tool and automating it adds nothing. The test is whether the same workbook gets rebuilt the same way every week by the same person. Repetition is the signal; a single export is not.
